Executive Assistant [Luxembourg]


 
Our client, an Investment Bank , is looking for its future Executive Assistant.


This job offer is a temporary contract for 3 months.

Your Responsibilities


  • Assist the Department Head in all administrative tasks: screen and distribute incoming documents, correspondence and e-mails, prepare responses and/or ensure appropriate follow -up
  • Distribute and circulate information within the Department in order to assist the Department Head in the performance of her duties and keep Departmental staff informed
  • Be responsible for scheduling of meetings and appointments on behalf of the Department Head. Monitor follow-up of management decisions. Interface with internal and external contacts
  • Prepare documents requiring Director’s approval and/or signature; monitor that deadlines are met and internal procedures are followed,
  • Review for quality of presentation reports, correspondence and communications coming from the Department
  • Coordinate with the secretariat teams of the Department and contribute to maintaining a good team spirit within these teams
  • Follow up on approval processes for the Department and extract from Serapis reports on delivery on business objectives and others
  • Contribute to the preparation of the Department’s budget and to its follow -up in coordination with the Budget Officer
  • Office planning: organisation of the office space and staff movement
  • Greeting visitors
  • Supports the onboarding process for new hires including scheduling candidate interviews, ordering business cards, submitting access requests and ensures new hires are promptly set up on the appropriate systems
  • Regularly participates in admin and department team meetings
  • Coordinates appropriate materials for meetings, appointments and presentations. Follow processes and procedures and be able to give guidance to managers and groups they support
  • Provides back-up support to other teams



Your Profile


  • Successful completion of secondary-level education, coupled with a 2-year certification in a pertinent field or secondary-level education accompanied by equivalent qualified experience in a related field.
  • At least 5 years of pertinent professional experience
  • Proficient in the use of standard computer tools, with a strong emphasis on MS Office applications (Word, Excel, PowerPoint)
  • Profound proficiency in both written and spoken English; proficiency in French is desirable
  • Familiarity with other EU languages would be considered advantageous
